Domain's Microsoft Office 365 implementation process consists of six steps.

1.    Office 365 Requirements Gathering

During this step we conduct interviews with client executives, managers and teams. We develop a list of office users and define roles. We define the components of Office 365 that our client will use. We define the complexity of the implementation. Some clients will utilize a package like Sharepoint heavily to manage specific business processes, while others may hardly use it and therefore we spend little time implementing and training it.

2.    Office 365 Planning The Project

Using the information captured during the requirements gathering phase, the implementation team develops an Office 365 implementation plan. The plan includes user names, user groups, and the parts of Office 365 that are being rolled out and to what level of complexity. Also security levels are assigned to the users or to the role level. Not every user gets to see all of the data. Securing the information appropriately is a key part of the Office 365 installation.

The migration of existing information to Office 365 is next. The from and to data path is mapped during the planning phase. The source of the data is documented and the target as well. Emails must be uploaded to the cloud for each user. Documents must be uploaded to the appropriate directories and secured. Extreme care is taken so that no information is lost, or in appropriately shared.

Office 365 implementation time lines are created and communicated to all involved parties.

As in all IT projects, a solid Office 365 implementation plan is the key to success.

The detailed Office 365 plan is reviewed with the major project stakeholders, modified as needed and approved by executive client management.

As you can see, the implementation of Office 365 is not ?willy nilly?.

3.    Office 365 Implementing

Implementation is the careful execution of the plan defined above.

  • Office 365 Migration

    Existing information must be uploaded to the cloud. During this process the information is secured at both source and target. We ensure there are no vulnerable times for security lapses.

  • Office 365 Testing

    The Office 365 implementation team tests the installation. The following questions are asked. Are all users properly created and assigned to the appropriate roles, and are the users and roles correctly secured? Again Office 365 security is very important, never overlooked or performed haphazardly. Can users access all the tools? We have users log in at this point and check there access t o the Office 365 toolset. Can users print? Seem simple, but this is a major cause of grief, and one we want to attack sooner than later. We all want to use less paper; but, when we need to print, we need to print. Is the implementation complete? Has the detailed Office 365 implementation plan been completed? Our team will verify that there are no open tasks of a critical nature.

4.    Office 365 Training

Dependent upon the complexity of use of the Office 365 tools, and your team?s experience with Office products in general, you may or may not require training. If you do, now is the time. If not, you are ready for Go Live. If training is needed, Domain Technology Group, Inc.. will work with you to define an Office 365 training program. Typically an Office 365 training program revolves around the more complex components of Office 365 such as SharePoint. SharePoint is a software package within Office 365 that can be built into an organization?s work flow and used to enforce process adherence. If used correctly, it is a huge business value generator. SharePoint is an excellent tool to use when supporting a remote and distributed work force. Sharepoint within Office 365, aligned with MS Exchange is an excellent way to organize information.

5.    Office 365 Going Live

We have planned, implemented, tested, and trained on Office 365. Now is the time to cut over to Office 365 and begin using the tool in a production mode. You are now live and using Office 365. Have some fun, and play with Lync. It adds a new dimension to office communications and meetings. It too can be used as an extreme value generator.

6.    Retiring or Redeploying Old Servers, a benefit of Office 365 and the cloud in general

In many case our clients are coming off of an in-house installation of MS Office, Exchange, and other Microsoft tools. The existing supporting servers are either ?put to pasture?, or reformatted, cleaned up, and put to another area of productive use. If retired, it is one less component that must be managed and maintained. If redeployed, congratulations, you are getting additional value out of a previous purchase as a result of your Office 365 implementation.
